Administrative Assistant
Integrated Community Alternatives Network (ICAN), a Community-based Wraparound provider of Social and Mental Health services with emphasis on treating the client in a family context, is currently seeking innovative and experienced applicants to fill an Administrative Assistant position to be located in our Herkimer Office.
Occasional local travel between agency sites will be required, on an as-needed basis.
The Administrative Assistant relieves administration and direct line staff of clerical work and minor administrative and business functions. Maintains a positive working presentation and relationship with the public/community that promotes a positive agency image, adheres to and promotes the philosophy and mission of the company by performing the following duties.
The annual salary generally ranges between $38,000-$40,000. The range is an estimate based on an applicant’s skills and experience.
35-Hour work week, Monday-Friday

Duties & Responsibilities
- Ensures effective communication across worksite to help facilitate day-to-day business matters.
- Responds promptly to incoming guests as appropriate.
- Supports building and staff safety by diligently monitoring security cameras and the visitor login system.
- Answers telephone and provides information/assistance or routes call to appropriate staff member.
- Responds to and/or forwards all incoming emails in a reasonable time frame.
- Takes telephone or visitor messages and delivers to appropriate individual.
- Operates standard office equipment efficiently to include computer, printer, photocopy and fax machine.
- Assists with program data entry as requested by management.
- Monitors office supplies and informs the Senior Administrative Assistant of order needs.
- Ensures all conference rooms are neat and clean before and after meetings.
- Ensures that the inside of the building and workspace are clean and clutter-free.
- Maintains master forms designed to enhance efficient office operations.
- Maintains an updated and accurate calendar as well as schedules appointments and office meetings as requested.
- Opens, date stamps and sorts and distributes mail within and among all sites.
- Prepares outgoing mail using the postage meter and ensures the meter is up date with updates and funds at all times.
- Assists program staff with reasonable requested tasks.
- Additional duties may be assigned on an as needed basis.
Education/Experience
- Associate’s Degree (A.A.) or equivalent from two-year college or technical school -OR-
- One to two years related experience and/or training in an office, administrative, or assistant position preferred.
- Working knowledge of Microsoft Office Suite, Google Suite, internet and cloud-based software preferred.
- An equivalent combination of education and experience will also be considered.
- A valid NYS Driver's License is required.
